The meeting was called to order by Carolyn Keown at 7:00 p.m.

Staff representations from School are Gladys Crozier, Agnes MacKillop, & Margaret Aitken who will advise Parent council in ways that the parent council can assist, key dates for diary & events.


Treasurer’s Report

Now able to use telephone banking for Bank of Scotland.  Will advise re full bank total available after all invoices cleared.


School Report

Nothing to update. Dates for fairtrade coffee afternoon to be decided by P7 as it is there project. New start intake to take place 11th &12th January.


Agenda Points Covered


1.     Uniform Shop: Agreed that we should now stock the wool options of cardigan and V-neck sweater, and the price point is higher than sweatshirt material but looked excellent. Carolyn will arrange photos of new items and forward to 3DC to update the website, and Sam will add to the uniform order sheet so it is available for new starts. Also agreed date for main clothing order to be submitted – end of March – will ask parents to get orders placed in this time frame, they are the only ones who will be guaranteed to receive uniform preschool end. Will close shop online at end of May to and re open in August once school goes back to allow for suppliers lead time.  uniform@bppc.org.uk


2.     Secret Garden Project:  Now have the money to go ahead with next part of secret garden – will arrange with landscapers to come clear area and arrange to level. This may take most of our funds, however, we can then seek to add to it if it’s a flat site, and it will be more useable for the pupils. 3.     Pamper Night: Additional money came in associated to pamper night from the BPPC stall bringing total to over £700.

 

 

4.     Christmas Fayre: Successful event despite moving date and time due to weather. Discussed about moving back to Sat morning but don’t think that will make much difference. It was noted that if it wasn’t from help from staff members we would not have been able to run the fair – there was very little support from parents and guardians with only 14 coming forward out of the entire school, this included those who were then unable to help due to change in date/time.  The event raised over £2000 which was good and additional calendar sales added to the total of £2300.  


      We have discussed at length why we are lacking in volunteers to help at any event, other than the coffee mornings where we have more than we could possibly use, so it may be going forward we spend the money we have currently, holding back enough to cover the disco in Feb, and leaving gift and new start gift.  The other options were to possibly award parents who help at events the first of balloted tickets for shows/reserved seats, but this brings other problems.


     Attendance at meetings has dropped off too from the initial flurry of interest and people coming forward to assist with focus groups and future activities they have fallen away. Not all events are fundraising, some are just for community spirit, however these still require people to help set up and clear up etc. Welcome suggestions of what parents /guardians want to do going forward or do we forego all events due to lack of support and no longer fundraise to cover costs of parties/ equipment etc., and it would go back to pupils bringing donations to cover the cost of their party/leaving gift etc.


5.     Christmas Parties: Final party supplies to be purchased – in total around £200 spent 


6.     Acknowledgement: Advised that BPPC Secretary Susan will step down from role come June – without a replacement we will have to cease BPPC and this also means clothing.


7.     Treasurer’s ReportWill update for funds available to do secret garden...


8.     Future events: We had been planning to run pre mother’s day event with basketball group again – pamper for parent/child, afternoon tea, and shopping approx. 1 week before mother’s day. – This is now cancelled as Basketball team cannot support and there was insufficient parent/guardian representation that are willing to help /organize this.

a.     Fashion Show: Involve pupils /parents in fashion show?

b.     Sports Dinner: Different idea

c.     Wine /whisky tasting:

d.     Quiz – house captains vs. parents, involve teams?

e.     Possible "pop connections” idea 


9.  AOB: 
Fundraising within school -  Discussed that possibly December is an expensive month for parents, between shows, panto, xmas fair, school      photos etc  - should we look at reviewing this - do we continue with Christmas fair or move to spring fair? We felt pupils look forward to the christmas fair and its not a huge outlay for parents. School photos - discussed about having more "quirky shots" rather than pupils sitting on chair? Will ask trutex or are you happy with the current photos?. We also asked that the school provide the totals raised from the shows, photos, christmas cards etc, and to show how this money is going to be used within the school, so as to avoid confusion from the money the BPPC are raising - think there is confusion that it is duplication - ultimately all money goes into school but the BPPC money is always for specific projects for the pupils. We think this is possibly why people aren't coming forward to support events as they have contributed already? However, the non profit making events which BPPC run such as Family Fun night , Discos and coffee morning - still need people to go and get supplies, arrange help, attend on the night, and the difficulty is when it is a family event, folks want to spend with their family rather than on a stall which is why we try and keep to a minimum of 1/2 hour to hour slot. Other option is to charge a higher ticket price for events and outsource the running of it to a private company ? Need to get parents response of how they want to proceed or do we scrap the BPPC.
